Privacy & POPIA

Your information, handled with care.

Plain language, like everything else we do. Last updated October 2026.

Who we are

Keystone is a business automation studio based in Cape Town, South Africa. For this website, Keystone is the responsible party for your personal information under the Protection of Personal Information Act (POPIA).

Questions about your information go to ops@keystonehq.co.za.

What we collect

Contact form: your name, email address, and, if you add them, your phone number, company and message.

Plan a project: your answers about the work you'd like to automate, plus the name, business and email you give us so we can reply.

Newsletter: your email address, the date you signed up and the wording you agreed to. We only email you if you sign up, and every email lets you unsubscribe.

Site visits: the page you viewed and the site that referred you, so we can see which pages are useful. We don't use this to identify you, and the site sets no tracking cookies.

Why we use it

To reply to you, prepare your discovery brief, follow up about your project, and improve the questions we ask. We don't sell your information or use it for anything else.

Who can see it

Only the Keystone team, inside our own project systems. Your records are never visible to other clients or the public. Our website and data storage are provided by hosting services that process data on our behalf, and newsletter emails are sent through Brevo, our email provider.

How long we keep it

Only as long as we need it to deal with your enquiry or project. You can ask us to delete it sooner at any time.

Your rights

You can ask to see the information we hold about you, have it corrected, or have it deleted. Email ops@keystonehq.co.za and we'll respond.

If you're unhappy with how we've handled your information, you can also contact South Africa's Information Regulator.

Please don't send

Passwords, API keys or confidential records through our forms. If a project needs access to a system, we'll arrange that securely with you.
